Who we are and what this statement covers
MedPulse Logistics (ABN 59 699 558 211) is a Sydney-based medical courier service operating across the Sydney metro area and regional NSW. We transport pharmaceuticals, blood samples and specimens, medical devices and equipment, clinical trial consignments, medical dangerous goods, NDIS equipment and participant transport, and individual prescription and device deliveries.
This Privacy Statement explains what personal information MedPulse Logistics collects, how we collect and use it, how we keep it secure, and the choices you have. It applies to our website, our enquiry and quote forms, and the information we handle when arranging and completing deliveries for you.
We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles. Whether you are a hospital procurement manager, a pharmacy, a clinical trial coordinator, an NDIS provider or a household customer, the same care applies.

The information we collect
We only collect the information we need to quote, book and complete your delivery. Depending on how you deal with us, this may include:
- Quote requests: your name, organisation (if applicable), phone number, email address, pickup and delivery suburbs, the service type you need, your preferred delivery date, and any message you include.
- Rate information requests: your name, organisation, email address and the services you are interested in.
- Delivery records: consignment and proof-of-delivery details, recipient names and signatures, and temperature logs for cold-chain consignments.
- Billing information: the details needed to issue invoices and process payment.
We do not ask for medical or health information about you. In some cases, the nature of a delivery (for example, a specimen collection or an NDIS-related booking) may indirectly suggest something about a person's circumstances. We treat all such information with additional care, as described below.
How we collect your information
We collect personal information in three main ways:
- Website forms: when you submit a quote request or rate information request on our website, the form is processed by Formspree, a form-handling service, and delivered directly to the MedPulse Logistics email inbox.
- Phone: when you call us to make an enquiry or booking.
- Email: when you contact us directly or correspond with us about a job.
Our website is a simple, static site. There are no user accounts and no live booking system, and nothing is stored on the website itself. Signatures and proof-of-delivery details are collected in person at pickup and delivery.
Why we use your information
MedPulse Logistics uses your personal information to:
- prepare and provide quotes;
- schedule, track and complete deliveries;
- issue invoices and manage payments;
- maintain delivery, chain-of-custody and temperature records where required;
- keep you updated about your booking or delivery; and
- meet our legal, tax, insurance and record-keeping obligations.
We do not sell your personal information. We do not share it with third parties for marketing purposes, and we will not send you marketing material you have not asked for.
NDIS participants and health-adjacent information
Some of our work involves NDIS participants: delivering equipment and devices, or providing participant transport. We understand that participant contact details and delivery information deserve extra care.
Our approach is simple:
- We collect the minimum information needed to complete the delivery or transport safely, typically a name, contact number and address.
- We never disclose participant details to anyone except where necessary to complete the service (for example, confirming a delivery with a support coordinator who booked it) or where the law requires it.
- We do not build profiles, keep notes about a person's disability or health, or use participant information for any purpose beyond the job itself.
The same principle applies to any delivery that could reveal something about a person's health, such as a household prescription delivery or a specimen collection. What we deliver, and who we deliver it to, stays confidential.
How we store and protect your information
Personal information you send us is held in the MedPulse Logistics email inbox and in our business records. Access is limited to authorised personnel, and the devices we use are password-protected and kept secure.
Delivery records, signatures and temperature logs are retained as part of our operational records to meet business, insurance and tax obligations, and to support the chain-of-custody and cold-chain documentation our clients rely on.
No method of storage or transmission is completely secure, but we take reasonable steps, consistent with the Australian Privacy Principles, to protect your information from misuse, interference, loss and unauthorised access.
When we disclose your information
MedPulse Logistics discloses personal information only in limited circumstances:
- Service providers: providers that help us run the business, such as our form-processing service (Formspree, which delivers website form submissions to our inbox and may process data on servers located outside Australia) and payment or invoicing providers.
- Insurers: if information is needed to make or manage an insurance claim relating to a delivery.
- Required by law: where disclosure is required or authorised by Australian law, such as a lawful request from a regulator or law enforcement.
We do not disclose your information to anyone else, and we never provide it to third parties for their own marketing.
How long we keep your information
We keep personal information only for as long as we need it for the purpose it was collected, and then for as long as Australian tax, business and insurance record-keeping rules require.
- Quote enquiries that do not proceed to a booking are not kept longer than needed to respond to you.
- Delivery, proof-of-delivery, chain-of-custody and temperature records are retained to meet our business and client documentation obligations.
- Invoicing and financial records are generally retained for at least five years, in line with Australian tax requirements.
When information is no longer needed, we take reasonable steps to delete or securely destroy it.
Accessing and correcting your information
You can ask us at any time what personal information MedPulse Logistics holds about you, request a copy, or ask us to correct anything that is inaccurate, out of date or incomplete.
Just contact us by phone or email using the details below. We do not charge for correction requests, and we aim to respond to all access and correction requests within 30 days. If for any reason we cannot meet a request, we will explain why in writing.
Complaints
If you believe MedPulse Logistics has mishandled your personal information, please contact us first. We take privacy concerns seriously and will investigate and respond promptly.
If you are not satisfied with our response, you can lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au. The OAIC is the independent national regulator for privacy under the Privacy Act 1988 (Cth).
